Receptionist/Administration Assistant - Cardiff

Outline of Role

What you’ll do:

The Receptionist/Administration Assistant will be the first line of contact for visitors, customers and suppliers in person and via telephone. The role will also involve general office administration duties, as well as specific support to other departments such as Marketing and Finance.

Key responsibilities:

  • Answering incoming calls in a professional manner and transferring to correct person. Taking messages when required.
  • Allocating emails within CRM to the correct person within the company to respond.
  • Keeping CRM database current and up-to-date.
  • Supporting the Marketing department by carrying out updates to the website, such as price updates.
  • Arranging meetings by scheduling appropriate meeting times, booking rooms and planning refreshments.
  • Managing reception area and looking after visitors.
  • Purchasing of office supplies and stationery ensuring the stationery cupboard is always stocked (including printer and franking machine materials).
  • General office housekeeping, ensuring areas are clean and tidy.
  • Inputting of time sheet information on Sage 200.
  • Keeping staff diaries up to date, recording site visits, meetings and annual leave.
  • Assisting with company training events by organising catering, setting up the room, and clearing up afterwards.
  • Managing outgoing post and recording information on special deliveries.
  • Photocopying, scanning and filing of documents as needed.
  • Opening and distributing incoming mail.
  • Any other administrative duties as required.
